How do I add a new property to the portfolio?
You fill in a structured form (type, surface, price, location, features) and upload the photos. The listing appears instantly in the agency portfolio, and you can publish it at once on the website and the connected property portals — no double entry.
Can I publish the same listing on several portals?
Yes. From a single property record you distribute the ad to the agency website and the integrated property portals. When you update the price or status, the change propagates everywhere, with no repeated manual edits.
How do I manage property status (available, reserved, sold)?
Each property has a status you change in one click. Sold or reserved listings are hidden from public ads automatically, but stay in history for reports and commissions.
Can I have properties with restricted (off-market) visibility?
Yes. You flag a property as private or off-market and only the internal team sees it. You can present it selectively to the right clients without exposing it publicly.
Are listings optimised for mobile display?
Yes. Both the property record in the panel and the ads on the website are natively responsive and fast on mobile — where most buyers and tenants search.
CRM & leads
Where does 4property collect leads from?
Leads come in automatically from the agency website forms and from portal ads, and can be added manually over the phone. Each lead lands in the CRM with its source tagged, so you know which channel brings the best clients.
How does demand–supply matching work?
You record the client request (budget, area, type, number of rooms) and the platform compares it automatically with the portfolio. You get a list of matching properties and can send the selection to the client in seconds.
Can I track the full interaction history with a client?
Yes. Each client has a record with calls, emails, scheduled viewings, offers sent and agent notes. Any colleague can pick up the file without losing context.
How do I split leads between agents?
You assign leads manually or by rules (area, property type, availability). The coordinator sees the whole team pipeline, while each agent sees only their own leads, with role-based access.
Do I get follow-up alerts?
Yes. You set reminders and tasks for each lead, and the platform notifies you when it is time to follow up. No warm client is left without a reply.
Viewings & calendar
How do I schedule a viewing?
From the property or client record you pick a free slot in the agent calendar and confirm the viewing. The client automatically gets the details and a reminder, and calendars stay in sync.
Can clients book a viewing by themselves?
Yes. You switch on online booking and the client picks an available slot straight from the ad, without a phone call. The agent calendar updates in real time and avoids overlaps.
How do I cut missed viewings?
With automatic reminders by SMS, WhatsApp or email before the meeting. The client can confirm or reschedule in one click, so agents stop wasting trips.
Can I see the whole team calendar in one place?
Yes. The coordinator has a calendar view across all agents and properties, to balance the schedule and avoid time conflicts.

Can I generate agency mandates straight from the platform?
Yes. You start from a mandate template, and the property and client details fill in automatically from the existing records. You cut drafting time and avoid transcription errors.
How do I track exclusive and expiring mandates?
Each mandate has a type (exclusive or open) and a validity term. The platform warns you before expiry, so you renew on time and do not lose properties from the portfolio.
Does it integrate with e-signature and contract management?
Yes, through 4mycontracts in the 4b2b ecosystem: you send the mandate or sale agreement for e-signature and keep versions and history in one place.
Can I calculate the commission on each deal?
Yes. When a deal closes, the platform calculates the commission by the rules you set and links it to the agent and the property, for clear reports and settlement.

How much does 4property cost?
Pricing depends on the plan and the size of the agency (number of agents and active properties). See the full grid on the pricing page; all plans include listings, CRM and viewing appointments, with no fee per deal.
Can I start now and subscribe later?
Yes. You start right away, set up the portfolio and the team, and activate the subscription once you see the result. No long-term commitment forced upfront.
Is there a plan for the solo agent?
Yes. There is a starter plan suited to an independent agent that you scale up as you add colleagues and properties. Details on the pricing page.
Is the platform secure and does it back up automatically?
Yes. The infrastructure includes HTTPS, data encryption, role-based access and automatic backups, so the portfolio and client data are protected and recoverable.

Can I invoice commissions straight from the agency?
Yes, through 4invoices in the 4b2b ecosystem. Commissions and brokerage services can generate invoices with the client details pulled automatically from the CRM. No double entry.
Which notification channels can I use for clients?
We integrate notifications through 4notify: SMS, WhatsApp and email for viewing confirmations, reminders and follow-up messages. Clients are notified on time, with minimal effort from the agent.
How do I handle contracts and e-signature?
Through 4mycontracts: you send mandates, agreements and contracts for e-signature and keep the full history linked to the property and the client, without documents scattered across email.
Does the data stay with the agency?
Yes. The portfolio, leads and clients belong to the agency. You can export them any time, and we act as a data processor with the security measures required by GDPR.
